Reporting Structure: Reports to the Integrator, has direct reports

Employment: Exempt, Full-time

Work Location: Grand Rapids (Virtual work occasionally)

Salary: $75,000 - $85,000

Mandatory Qualifications:

  • 5 years of experience managing operations or logistics
  • Proven success leading employees to enhance their professional development and performance
  • Bachelor’s degree in supply chain management, logistics, business, or related field
  • Experience meeting or exceeding quality management standards
  • Experience with warehousing, kitting, and wholesale distribution
  • Proficiency in Microsoft Office, including Word
  • Ability to operate standard office equipment and technology

Preferred Qualifications:

  • Proficiency in QuickBooks
  • Mastery in Microsoft Excel
  • Working knowledge of Enterprise Resource Planning systems
  • Experience with procurement and strategic sourcing
  • Experience interpreting specifications and drawings
  • Experience meeting Federal Acquisition Regulations
  • Knowledge of Federal Government, SLED, and ASTM packaging standards
  • Experience with logistics delivering to high security locations
  • Experience with EOS® (Entrepreneurial Operating System)

Lead, Manage, and Hold Accountable (LMA)

Oversee Purchasing and Related Processes

  • Process customer orders accurately and with urgency to ensure a minimum of 95% of orders deliver on time
  • Incorporate customer satisfaction feedback into order fulfillment process

  • Incorporate quality assurance and compliance checks into order fulfillment process (examples include photographs of loads, production samples, flow-downs, etc.)
  • Invoice promptly for all orders to support cash flow
  • Validate accuracy of supplier pricing throughout the order fulfillment process
  • Identify profitability issues; report to leadership team
  • Maximize profit and operational efficiency with technology improvements
  • Identify resources and tools which reduce time per order
  • Oversee technology which supports order fulfillment process
  • Build and retain a team of account coordinators who can serve as subject matter experts for customer questions, with an inside sales mindset

Give Input on Bid Decisions

  • Support sales process with operational input regarding bid and targeted capture opportunities
  • Participate in bid decisions, solutioning, win theme development – with a focus on operations, supply chain, required deliverables, and margin.
  • Know products, industry trends, purchasing trends
  • Participate collaboratively with sales planning and strategy activities
  • Support continuous improvement of the bidding process
  • Monitor operations dashboard in Salesforce

Manage Subcontractor Relationships

  • Document supplier performance, positive and negative
  • Recommend supplier survey questions and frequency
  • Review supplier feedback; make recommendations to be suppliers’ customer of choice
  • Ensure suppliers receive communication, instructions, and feedback to help them be successful as part of our supply chain
  • Ensure every line item and delivery location has a primary and alternate supplier
  • Identify gaps in the supply chain; recommend improvements
  • Establish and implement supply chain management scorecard system
  • Maintain approved supplier list with in-house capabilities by location
  • Build positive, long-term relationships with suppliers
  • Negotiate with suppliers
  • Conduct routine, frequent price checks to ensure favorable pricing from suppliers
  • Negotiate prompt payment discounts and favorable margins
  • Maintain and retain records; document system for record retention, including how to track and where to retain documentation
  • Ensure compliance with insurance and contract requirements; obtain a current certificate of insurance, with a waiver of subrogation and with us named as an additional insured.
  • Document quality issues in accordance with QMS
  • Establish systems for validating order accuracy (production samples, photos, testing, etc.)
  • Leverage existing and identify strategic new relationships for supply chain expansion
  • Build strong infrastructure for compliance
  • Deeply understand raw material pricing trends
  • Create supplier training curriculum and/or other materials, conduct supplier training on a pre-determined frequency and as needed based on issues
  • Establish, maintain, and implement onboarding systems for new suppliers
  • Develop and maintain new supplier onboarding materials
  • Collect required supplier documentation prior to issuing any purchase orders
  • Develop workflows and/or corresponding work instructions for new supplier onboarding
  • Conduct training and instructional materials to educate suppliers on contract-specific requirements
  • Participate in internal and external contract and customer onboarding meetings
  • Guide and collaborate with risk management and sales
  • Perform new contract tasks in accordance with onboarding SOPs and workflows

Maximize Margin

  • Drive margin through strong supply chain relationships; competitive supplier and carrier pricing; maximized EPAs; knowledge of raw material trends

Perform Solutions Fullfilment 

  • Create supply chain management plan
  • Define the ideal supplier within the plan (type, characteristics, actions)
  • Ensure plan design vets, onboards, and maintains relationships with diverse suppliers to achieve organizational sales and diversification goals
  • Ensure every contract delivery location and item has a primary and alternate supplier
  • Develop messages for initial and ongoing communication with suppliers; request marketing support that encourages suppliers to prioritize working with us
  • Build team of supply chain specialists who can serve as subject matter experts
  • Determine needs for enhancing operational efficiency and effectiveness
  • Guide leadership and make recommendations for adoption of new systems, resources, and tools
  • Implement as needed
  • Participate in QMS quarterly and annual reviews
  • Document quality issues immediately and consistently
  • Support quality audits, internal and external
  • Make recommendations for improvement to QMS
  • Establish internal controls to enhance quality systems

Oversee Warehouse
